Legal and Policies

Shipping Policies

Safer.Travel provides travel, hotel reservation, and tourism services; therefore, physical products are not normally shipped to customers. For the purpose of these policies, “delivery” refers to the electronic issuance and delivery of booking confirmations, vouchers, and travel-related documents for services booked through Safer.Travel.

Booking Confirmation

After the booking and payment requirements for the selected service have been completed, the booking confirmation or voucher will be issued once final confirmation has been received from the hotel or supplier. Customers and agents must review all booking details immediately upon receipt and notify Safer.Travel of any discrepancy without delay.

  • Traveler names.
  • Hotel name, city, and country.
  • Arrival and departure dates and number of nights.
  • Room type and occupancy.
  • Additional services, if any.
  • Flight details where transfers are included.
  • Any special notes or booking conditions.

Confirmed and On-Request Bookings

Where a service is available for instant confirmation, the booking will be confirmed subject to the availability and rate displayed at the time of booking and payment. Reservations shown as “On Request” are not finally confirmed until confirmation is received from the hotel or supplier. A response may take up to 48 hours. The hotel may reject the request or offer a different rate, in which case the customer or agent will be informed accordingly.

Delivery of Documents and Vouchers

Booking confirmations, vouchers, and related correspondence are delivered electronically through the system or to the registered email address. Users are responsible for providing a valid email address and checking their inbox and spam/junk folders.

Responsibility for Booking Data

The customer or booking agent is responsible for the accuracy of all information provided, including traveler names, nationality, flight details, and reservation information. All vouchers must be reviewed immediately upon receipt.

Exchange & Return Policy

Due to the nature of travel services, traditional product exchange and return procedures do not apply. For Safer.Travel services, exchange and return refers to booking amendments, cancellations, and refunds where permitted by the applicable booking conditions.

Cancellation and Amendment Requests

Cancellation and amendment requests should preferably be submitted through the Safer.Travel system or by email or fax before the applicable cancellation deadline. Telephone cancellations or amendments are not accepted. Changes or cancellations made directly with the hotel without processing them through Safer.Travel are not binding on Safer.Travel.

Refunds and Cancellation Charges

Cancellation and refund conditions vary according to the hotel or supplier, selected rate, travel dates, and the time at which the cancellation request is received. Some bookings may be partially or fully non-refundable. Any cancellation charges imposed by the hotel or supplier will be deducted from any amount otherwise eligible for refund.

Non-Refundable Reservations

Where a reservation is confirmed under a Non-Refundable rate or condition, the amount paid will not be refundable upon cancellation in accordance with the specific booking terms. Customers should review the cancellation conditions carefully before payment.

Booking Amendments and Name Changes

Under the supplied terms, only one amendment per reservation is permitted, subject to supplier approval and availability. Additional changes may require cancellation and rebooking under new rates and conditions. Certain hotels may not permit guest name changes, in which case cancellation and rebooking may be required.

Promotions and Special Periods

Promotional rates, early-booking offers, free-night promotions, holidays, exhibitions, conferences, and high-demand periods may be subject to more restrictive conditions. Restrictions may include no name changes, no changes to the length of stay, or special cancellation charges. A complimentary night has no refundable cash value.

Rate Changes After Amendment

The original rate cannot be guaranteed following an amendment or rebooking. Rates may change due to currency movements, expired promotions, supplier pricing, or availability.

Terms of Service

Traveler Names and Nationality

The correct full name of each traveler must be entered and should match the relevant travel documents. TBA or other placeholders should not be used in place of the actual guest name. Traveler nationality must also be declared accurately and must correspond with the passport. The booking party is responsible for consequences arising from incorrect information.

Room Types and Occupancy

The customer or booking agent is responsible for selecting a room type suitable for the number of travelers. If more guests arrive than the room can accommodate, the hotel may refuse the booking and a refund may not be available under the applicable terms. Bedding and smoking preferences are forwarded to the hotel but remain subject to availability and cannot be guaranteed.

Hotel Ratings and Information

Star ratings provide a general indication of hotel standards and may vary between countries. Safer.Travel relies in good faith on information and ratings supplied by hotels and suppliers. Hotel and room images are illustrative and the actual room or facilities may differ from the images or descriptions shown.

Rates and Taxes

Rates may change before confirmation due to market conditions, currency fluctuations, and availability. Once a booking has been confirmed at the accepted rate, subsequent currency or price changes do not create an entitlement to a price-difference refund. Hotel taxes are included where stated, while local, tourism, or city taxes may be payable directly at the hotel.

Pricing Errors

Safer.Travel reserves the right to correct pricing errors or omissions, including errors supplied by a hotel or local supplier. Where an error is identified, the customer may be offered the option to retain the booking at the correct rate, cancel the booking, or select a suitable alternative subject to availability.

Additional Hotel Charges

Hotels may impose additional charges directly on guests, including resort fees, parking, luggage storage, spa facilities, minibar, safe, or other services. Mandatory gala dinner supplements may also apply during certain holiday periods. Safer.Travel does not control and is not responsible for such hotel-imposed charges.

Transfers

Under the supplied terms, transfers cannot be booked separately and may only be added to hotel reservations. Transfers are non-amendable in respect of date, name, flight number, or vehicle type. Accurate flight details must therefore be provided at the time of booking.

Group Reservations

A reservation involving 10 or more travelers is considered a group booking. Safer.Travel reserves the right to cancel an FIT reservation made for a group or for the purpose of holding inventory for future resale.

Complaints and Circumstances Beyond Control

Any complaint that cannot be resolved at the hotel must be submitted to Safer.Travel within 20 days of departure. Response times may range from 5 to 20 business days depending on the nature of the case. Safer.Travel is not responsible for service failures resulting from circumstances beyond its control, including natural disasters, severe weather, or governmental actions.

Visa Support

Safer.Travel is not obliged to request visa-support documents for reservations that have not been fully paid. Issuance remains subject to the hotel’s response and additional charges may apply under the hotel or service conditions.
